Who we are

Future BY Energy Ltd is the data controller. Company number 08558020, registered in England and Wales. Registered office: 20-22 Wenlock Road, London, N1 7GU.

What we collect

  • Contact details you send us: name, company, email address, phone number and postal address.
  • Project information: site addresses, drawings, specifications, photos, test results and anything else you send for a quote or a report.
  • Billing details: invoices and payment records.
  • Website use: only if you accept analytics cookies (see below).

How we use it and why

  • To answer your enquiry and send a quote. We do this because you asked us to (steps before a contract) and in our legitimate interest in running the business.
  • To carry out the work: calculations, assessments, inspections, tests and reports. This is needed to perform our contract with you.
  • To lodge certificates and reports where the law requires it, for example EPCs on the government register through our accreditation scheme. This is a legal obligation.
  • To keep accounting and tax records. This is a legal obligation.
  • To see how visitors use this website, through Google Analytics. We only do this with your consent.

We do not sell your data and we do not use it for automated decision-making.

Who we share it with

  • Our accreditation schemes, such as Elmhurst Energy, for lodging certificates and for quality audits.
  • The assessors and testers who work on your project for us.
  • Building control, planning authorities and others involved in your project, when the job needs it.
  • Service providers that run our IT and communications: our website host (Durable), email, WhatsApp, Google and our accountants.
  • HMRC and other authorities, when the law requires it.

Some of these providers, such as Google and WhatsApp, may process data outside the UK. When they do, they use safeguards recognised under UK data protection law.

How long we keep it

We keep enquiries that do not go ahead for no longer than we need to deal with them. We keep project records for as long as our accreditation schemes and the law require. We keep accounting records for six years, as HMRC requires.

Cookies

When you first visit, we ask whether you accept analytics cookies. If you accept, Google Analytics sets cookies (named _ga and _ga_ followed by an ID) that help us count visits and see which pages are used. They last up to two years. If you decline, Google Analytics does not run and these cookies are not set.

Your choice is saved in your browser so we do not ask on every page. You can change it at any time with the Cookie settings link at the bottom of every page.

Some features come from other providers and load from their servers, such as the WhatsApp chat button, the map and our Google reviews. Their own privacy policies apply.

Your rights

You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. Email [email protected] and we will reply within one month.

If you are not happy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
